How this packet is used
When a covered transaction dispute is opened, SovereignDocs can store a case-specific paperwork packet using these templates. The packet should be attached to the dispute case with the transaction acceptance receipt, support history, evidence, committee assignment, recommendation, refund-cap calculation, final owner decision, and closure note.
This packet does not replace signed customer agreements, mandatory consumer rights, regulator processes, court routes that cannot be waived, or attorney review. It is a company recordkeeping system for in-house dispute handling.
1. Notice of dispute
- Customer name, email, account, workspace, and order ID.
- Product, service, offer, subscription, deposit, top-up, or statement of work at issue.
- Purchase amount, date, payment provider, and receipt or checkout reference.
- Facts, timeline, support contacts already attempted, screenshots, logs, and requested relief.
- Acknowledgement that the customer reviewed the posted Legal Skyes terms, payment/refund policy, in-house arbitration policy, and no-100%-success boundary.
2. Evidence index
- Checkout acceptance receipt and legal URLs presented at transaction time.
- Support messages, email threads, tickets, call notes, screenshots, logs, delivery proof, account-access notes, and proof receipts.
- Customer-submitted files and company-submitted records, each with source, date, submitter, and integrity note.
- Missing evidence list and deadline for supplementation when reasonable.
3. Committee disclosure and conflict check
- Committee member name, email, Legal Skyes AE lane, contractor status, verified legal certification or licensure, and assigned role.
- Disclosure of any personal, financial, customer, affiliate, employment, vendor, family, or competitive conflict.
- Confirmation that the member will not provide unauthorized legal advice, will protect confidential information, and will escalate counsel-review issues.
- Owner/admin approval before the member is relied on for final recommendation work or payout release.
4. Committee review minutes
- Meeting date, duration, attendees, case ID, materials reviewed, issues considered, and missing records.
- Customer-requested outcome and company response.
- Technical, delivery, access, payment, support, and proof findings.
- Next actions, owner questions, deadline, and assigned Legal Skyes AE.
5. Committee recommendation
- Recommended outcome: no remedy, support correction, access fix, re-performance, account credit, partial refund, cancellation, external counsel escalation, or other owner review.
- Reasoning based on posted policy, contract terms, evidence, customer responsibilities, company delivery state, provider costs, and law.
- Boundary statement preserving non-waivable rights and truthful lawful reviews.
6. Refund calculation worksheet
- Purchase amount in cents and currency.
- Documented overhead: processor costs, fulfilled labor, platform costs, taxes, third-party costs, chargeback costs, and owner-approved non-refundable costs.
- Eligible refund base: purchase amount minus documented overhead.
- Discretionary cap: up to 67% of the eligible refund base unless signed agreement or mandatory law requires a different result.
- Proposed refund, account credit, or no monetary remedy with committee basis.
7. Final internal decision and closure
- Final outcome, authorized refund if any, owner/admin approval status, payment-release boundary, and delivery or account actions.
- Customer notice status and date.
- Closure note, retained records, open legal/counsel questions, and follow-up owner tasks.
8. Legal Skyes AE acknowledgement
Legal Skyes committee members are independent contractor Account Executives. The role is configured for one guaranteed hour per week at $31/hour, approved on-call case work at $31/hour, and a $50 KPI stipend every two months when the published KPI window is met. AEs must complete contractor paperwork, payout profile, confidentiality, conflict disclosure, verified legal certification or licensure review, and no-unauthorized-practice acknowledgement before case assignment or payout release. Owner approval cannot substitute for verified legal certification or licensure in this Legal Skyes committee role.
